Add your business name, address, bank details, and customer information. For CIS work, split labour and materials across the relevant rows.
Email the PDF to your customer, hand them the printed copy, or send via WhatsApp. Use the sequential invoice number in your subject line.
HMRC has specific legal requirements. Your template needs all of these.
INV-001, INV-002, and so on. HMRC requires a logical, non-repeating sequence. Never skip or reuse numbers — gaps raise red flags in an audit.
Always include both. "Payment due within 30 days" is vague — "Payment due by 11 June 2026" is enforceable and triggers your statutory interest rights.
Your trading name as a sole trader is fine — it just needs to match what HMRC has on file. Include email and phone too.
Full name or company name, and address. For limited company customers, use the registered company name — not a nickname.
If you're VAT-registered: your VAT number (GB XXXXXXXXX), the rate (20%, 5%, or 0%), and the VAT amount charged separately from the net amount.
For CIS subcontractors: show labour and materials in separate line items. The contractor deducts CIS only on the labour portion — itemise materials separately to reduce the deduction.
